Where quoting gets stuck

A slow or wrong quote costs you twice.

When your products have options, dimensions or prices by quantity, every quote turns into a math exercise. In Excel, it depends on fragile formulas and on the person who knows them. A pricing mistake comes out of your margin; a slow quote gives a competitor time to answer first.

Off-the-shelf quoting software works well for standard products. It runs out of steam when your rules fall outside the box: an option that rules out another, a price that depends on several factors, a discount reserved for certain customers.

In Quebec, the language of your documents matters too. Quebec’s Charter of the French Language requires, among other things, that invoices be written in French, as well as purchase orders and catalogues available to the public; another language is still allowed if the French version is accessible on terms at least as favourable. Software that produces your documents in both languages, from the same catalogue, takes this into account without double work.

Before you start

Custom makes sense when your rules fall outside the box.

If you sell standard products at fixed prices, off-the-shelf quoting software will probably do the job, and we will tell you. Custom is worth the investment in these cases:

  • Your products are configured, with options that depend on one another.
  • Your prices vary with several factors: quantity, customer, materials, lead time.
  • Preparing a quote takes someone who knows the file’s pitfalls.
  • After the customer’s “yes”, the order is retyped into another system.

Frequently asked questions

Your questions about quoting software.

How is it different from off-the-shelf quoting software?

Off-the-shelf software imposes its own product and pricing structure. Custom software starts from yours: your options, your exclusions, your price grids. If an existing tool covers your need, it is often the best choice, and we will tell you from the start. Our guide custom application or SaaS software helps you decide.

Can quotes connect to our accounting software or our CRM?

Yes, depending on what each system allows: an API, an import or an export. The goal is that information entered in a quote never has to be retyped.

Can quotes come out in French and in English?

Yes. The catalogue is kept in both languages and each document comes out in the customer’s language. For invoices and for purchase orders available to the public, Quebec’s Charter of the French Language requires the French version to be accessible on terms at least as favourable.

How long does it take and how much does it cost?

A first working version is usually ready in about eight weeks. The price depends on the number of products, the rules to program and the integrations; the proposal sets the scope and price before work begins. Who owns the software?
